Constitution of Chatsworth Residents' Association
1. NAME: The Association is known as Chatsworth Residents' Association (CRA). The area covered by the Association is the Chatsworth Road Conservation Area in London Borough of Croydon.
2. AIMS: The aims of the Association shall be to maintain and enhance the local environment for our community in the Chatsworth Road Conservation Area and to encourage a sense of community.
3. THE ASSOCIATION shall be an apolitical association; and a not for profit organisation.
4. MEMBERSHIPS shall be available to all households living, working or have investment interest within the boundaries of the Chatsworth Road Conservation Area.
5. SUBSCRIPTIONS shall be free.
6. MANAGEMENT of the Association shall be by a Steering Committee comprising of the Officers of the Association and up to 10 members, four to form a quorum.
7. The STEERING COMMITTEE shall meet biannually as a minimum but may be called additionally whenever in the opinion of any two Officers of the Association occasion demands.
8. The STEERING COMMITTEE shall have the power to act on any contingency arising between General Meetings and to fill any vacancy that may arise prior to the next Annual General Meeting.
9. GENERAL MEETING: The quorum shall be four members of the Association for all General Meetings. At least seven days notice shall be given of such meetings to all members.
10. The ANNUAL GENERAL MEETING shall be held annually for the purpose of receiving the Annual Report and Statement of Accounts, electing the Officers and members of the Steering Committee and an Auditor who shall not be a member of the Committee.
11. SPECIAL GENERAL MEETINGS of the Association shall be summoned by an Officer on the instruction of the Steering Committee or within 28 days of receipt of the request to do so by not less than 10 members of the Association. The request must specify the business to be brought before the Meeting.
12. The ASSOCIATION will register each year with the Council.
13. An Officer shall guide the meetings of the Association and its committee.
14. If necessary, The TREASURER shall open and/or maintain a bank or building society account in the name of the Association. All cheques must be signed by the Treasurer and at least one other nominated committee member who is from a different household and not related.
15. The TREASURER shall keep proper accounts of income and expenditure and details of subscriptions paid. he/she will also report on them as required by the committee or General Meeting. The accounts should be available for inspection by any member of the Association.
16. The SECRETARY is responsible for arranging meetings and giving the relevant notice to members. The Secretary shall ensure that a proper record is kept of all meetings of the Association and its committee in the form of minutes, and make them available as required by the committee. A register of members' names, addresses, emails and contact numbers will also be kept.
17. ALTERATIONS TO THE CONSTITUTION shall only be made by resolution at the Annual General Meeting or at any General Meeting convened for the purpose. Notice of any proposed alteration have been given at least 14 days prior to the Meeting to all Members.
